How to Convert a PDF to an Editable Word Document

PDFs are designed to look the same everywhere, which is exactly what makes them hard to edit. Converting to Word gives you a document you can change freely. This guide explains how to convert, what to expect from the result, and what to do with scanned PDFs that contain pictures of text rather than text.

Open the free PDF to Word

First, check what kind of PDF you have

Open the PDF and try to select a word with your cursor. If you can highlight individual words, it is a digital PDF — created from Word, a web page or another program. If the whole page selects as one picture, or nothing selects at all, it is a scanned PDF: a photograph of paper.

  • Digital PDFs convert directly and usually give good results.
  • Scanned PDFs need OCR (optical character recognition) first, which reads the letters in the image and turns them into real text.

How to convert a PDF to Word

  1. Open PDF to Word.
  2. Choose your PDF.
  3. Download the .docx file when it is ready.
  4. Open it in Microsoft Word, Google Docs, Pages or LibreOffice and check the layout.

Converting a scanned PDF

  1. Run the file through PDF OCR and choose the document’s language. OCR supports more than 40 languages.
  2. Download the searchable PDF it creates.
  3. Convert that file with PDF to Word.

Do you need Word at all?

Conversion is best when you need to rewrite large parts of a document. For small changes there are quicker options:

  • To fix a typo, add text or cover something up, edit the PDF directly with Edit PDF.
  • To fill in and sign a form, use Fill PDF Form and Sign PDF.
  • To copy the text into an email or another document, PDF to Text is the fastest.

Tidying up the Word document

  • Turn on formatting marks (the ¶ button in Word) to see stray line breaks and spaces carried over from the PDF.
  • Replace hard line breaks. If every line ends with a break, use Find and Replace to join lines back into paragraphs.
  • Apply heading styles so the document gets a navigation pane and a proper table of contents.
  • Check tables for merged cells and column widths before adding new rows.
  • Run spell check on documents that came from OCR — look especially at numbers, names and letters that look alike, such as l, 1 and I.

Turning it back into a PDF

When you have finished editing, save the document as a PDF from Word (File → Save As → PDF) or use Word to PDF. Sending the final version as a PDF keeps its layout intact for whoever opens it.
