Visa and Migration Document Toolkit

Visa and migration applications are unforgiving: a blurry scan, a photo the wrong size or a file over the upload limit can mean delays or a request for more information. KitWren’s free tools help with the practical side — turning papers into clear PDFs, sizing photos, keeping files within limits — and its free courses help with English test preparation. They don’t replace official instructions: every country, and often every visa type, has its own rules, so treat the official government website as the final word.

Before preparing anything, find the document checklist for your exact visa on the government’s official website. Note for each document: whether a colour scan is required, accepted file types and sizes, whether certified copies or certified translations are needed, and naming rules. Beware of unofficial sites that look like government pages and charge fees.
Turning papers into clear PDFs
- Scan or photograph in colour, flat, in even daylight, with all four edges of the page visible. Don’t apply filters — altered-looking documents can raise questions.
- Combine multi-page documents with JPG to PDF — for example, all pages of a birth certificate in one file.
- Fix orientation with Rotate PDF and remove blank pages with Delete PDF pages.
- Meet size limits with Compress PDF, checking afterwards that small print, stamps and seals are still readable.
- Split large files with Split PDF if a portal limits each upload.
Passport and visa photos
The Passport Photo Maker crops to official sizes for Australia, the UK, the EU and Schengen, the US, Canada, India, China (visa) and New Zealand, with a face guide and a 6×4 print sheet. It doesn’t alter the background, so photograph against a plain white or light grey wall. Many online applications want a digital photo with specific pixel dimensions or file size — check the requirements and use the Image Resizer or Image Compressor if needed. English test preparation
Many visa pathways require an English test score. KitWren offers free IELTS preparation and TOEFL preparation, plus a level test and general courses from A1 to C2. Which tests are accepted, the minimum scores and how long results stay valid differ between countries and visa types — check the official requirements before booking a test. KitWren is not affiliated with any testing organisation.

Name each file descriptively — “Passport-Bio-Page-Surname.pdf” — so both you and the case officer can find it. Keep a master folder with the originals and a list of what you uploaded and when.
Before you submit
- Open every file once more: correct document, all pages present, readable at 100% zoom.
- Check names and dates of birth match exactly across documents; explain any differences, such as a name change, with supporting evidence.
- Confirm each file meets the portal’s type and size limits.
- Save a copy of the submission confirmation and your file list.
Redaction: usually don’t
For rental applications, hiding unrelated details is often fine. For visa applications, altering or partly hiding official documents can cause problems. Only redact if the official instructions allow it, and never alter identity, civil or financial evidence.
What KitWren does not do
- Translations. Many applications require translations by an accredited or certified translator. KitWren does not provide them.
- Certified copies. Certification by an authorised person must be done in person, according to your country’s rules.
- Advice. For advice on your circumstances, consult a registered migration agent or lawyer where you are applying.
Keep sensitive documents private
