Diplomatic language

Be diplomatic: soften disagreement, criticism and bad news with distancing, modals, negative questions and positive framing.

Learn

Softening tools: modals (might, could, would), past/continuous for distance (I was wondering if…, We were hoping…), qualifiers (slightly, a bit, a little), and not very + positive (not very convenient instead of inconvenient).

Negative questions as suggestions: Wouldn’t it be better to…? Shouldn’t we check first? Isn’t there a risk that…? — they sound like shared thinking, not criticism.

Tactful disagreement: I see where you’re coming from, but… ; I’m not sure I entirely agree. ; That’s one option; another might be… ; With respect, …

Bad news: prepare, state it clearly, explain, offer a way forward: I’m afraid we won’t be able to… This is because… What we can do is…

Examples

  • Direct: Your plan won’t work. / Diplomatic: I’m not sure the plan would work as it stands.
  • Direct: That’s too expensive. / Diplomatic: That’s a little over our budget.
  • Wouldn’t it make more sense to wait until next quarter?
  • I was wondering if we could revisit the timeline.
