Managing references on real projects

All drawings should share one origin, orientation and unit. For buildings, many teams place the building near 0,0 in its own coordinate system and relate it to the survey with a known point; for site and civil work, drawings sit in the real survey coordinates (e.g. MGA, State Plane) in metres. Record the agreed setup in a short CAD protocol document so new team members get it right.

A typical architectural project: model files for each floor (walls, doors, windows) and a grid file; sheet files xref the models they show. Consultants' drawings are attached as overlays, so they don't nest back into each other's work.

Keep nesting shallow — two levels at most. Deep chains are slow and hard to debug, and an xref that (directly or indirectly) references itself creates a circular reference that AutoCAD must break.

Use relative paths everywhere. When references break after moving files, fix them in the External References palette (Found At) or in bulk with the standalone Reference Manager that installs with AutoCAD, which re-paths many drawings at once without opening them.

Unload references you don't need, clip large site xrefs to the area shown, freeze unneeded xref layers, and use Demand load with spatial and layer indexes enabled for very large references. -XREF with Unload in a script can prepare files quickly for plotting.

Use eTransmit to create a zip with the drawing, its xrefs, images, fonts, plot styles and a transmittal report. Or bind references for a self-contained record copy. Always tell recipients which coordinate system the drawings use.
