Schedules

Schedules are live tables of model data — doors, windows, rooms, quantities. Edit a value in a schedule and the model changes. They’re one of Revit’s biggest time savers.

In this lesson you will

  • Create a schedule and choose fields
  • Filter, sort, group and total
  • Format and add calculated values
  • Use schedules to edit and check the model

Creating a schedule

  1. 1View › Schedules › Schedule/Quantities; choose the category (e.g. Doors).
  2. 2Fields: add Mark, Type, Width, Height, Fire Rating, Level, Comments.
  3. 3Filter: e.g. Level equals Ground (or leave unfiltered).
  4. 4Sorting/Grouping: sort by Mark; group by Level with headers.
  5. 5Formatting: set headings and alignment; hide helper columns.
  6. 6Appearance: grid lines and text styles.

Itemised or totals

Untick Itemize every instance to collapse identical rows into counts — a window schedule by type with a Count column. Tick Grand totals for sums. Area and volume fields can be totalled per group.

Calculated values and conditional formatting

Calculated Value creates fields from formulas, e.g. Width * Height for opening area, or a percentage of total. Conditional formatting highlights values, e.g. rooms under 9 m² in red — great for checking a design against a brief.

Schedules edit the model

Change a door's fire rating in the schedule and the door changes. Select a row and click Highlight in Model to find it. Use schedules to renumber marks, fill in data and find errors (blank values, duplicates) quickly.

Key schedules

A key schedule defines named sets of values — e.g. room finish styles (A: carpet, painted plasterboard, plasterboard ceiling). Assign a key to each room and all its finishes fill in at once.

Common mistakes

  • Rows repeat for identical types.

    Untick Itemize every instance and add a Count field.

  • Schedule shows elements from all levels.

    Add a filter on Level or group by Level.

Exercise

Door, window and room schedules

  1. Create a door schedule sorted by Mark, grouped by Level.
  2. Create a window schedule by type with counts.
  3. Create a room schedule with area and a conditional format for rooms under 9 m².
  4. Change a door width in the schedule and check the plan.

You should end up with: Three live schedules for your model.
